How we manage your contract – on our own software

Every cleaning, healthcare and facilities contract runs on Ronove, the platform we built. Employees and subcontractors are vetted to the same standard, and every step is recorded – so you can see the work was done, safely, by the right people.

Vetting & onboarding
Employees and subcontractors are checked before their first job: ID, right to work, DBS where required, references and training. Documents carry expiry dates, Ronove sends renewal reminders and flags anyone not compliant – and we don't book anyone whose checks have lapsed.

Mobilisation & scheduling
Sites, projects, shifts and visits are set up and scheduled in Ronove, with the right people matched to each site.

Verified attendance
Staff clock in on site by NFC badge tap, QR code or GPS – a record of who was there, and when.

Tasks, photos & records
Task checklists, photos of the work and – in care – care notes and records completed on the phone.

Supervision & issues
Supervisors check quality on site, issues and incidents are reported in the app, and every change is logged.

Reporting, timesheets & invoices
Clients see their jobs and photos in the client portal; digital timesheets feed invoices, so the hours match.

1 · Vetting employees and subcontractors

Nobody works on your contract until their checks are complete – and that applies to subcontractors as well as our own employees. We vet subcontractors to the same standard before they are engaged, and check they hold the insurance the work needs.

In Ronove, each person's documents are recorded with expiry dates. Renewal reminders go out before anything expires, and the compliance board shows anyone who is out of date – our team does not book them until they are compliant again.

2 · Proof of service, not paper

Attendance: staff tap their NFC badge, scan a QR code or clock in by GPS when they arrive and leave.
Tasks: checklists for each site or visit, completed on the phone.
Photos: before-and-after and issue photos attached to the job.
Care records: in healthcare, care notes and records are completed at each visit.
Issues & incidents: reported in the app and followed up by a supervisor.
Activity log: changes in Ronove are logged – who changed what, and when.
